How to Secure Your Zoom Sessions<\/h1>\n

As many of our courses are presented online, it is important to take steps to prevent incidents of \u201cZoom bombing,\u201d where an unauthorized user gains access to and disrupts classes in progress. This tech tip reviews the best security practices to ensure that your course stays as secure as possible, and you experience no interruption. None of these strategies can guarantee\u00a0security, but these measures \u2013 particularly requiring users to authenticate their identities \u2013 can reduce\u00a0disruptions.<\/p>\n

Enable security features<\/span>\u00a0<\/span><\/h3>\n

To enable these security features in your account, go to\u00a0<\/span>https:\/\/cuny.zoom.us<\/span><\/b><\/a> . Enter your CUNY username and password (ie: <\/span>John.Doe89@login.cuny.edu<\/span><\/a>), if you have any difficulty logging in, please contact\u00a0<\/span>support@qc.cuny.edu<\/span><\/a>.\u00a0<\/span>\u00a0<\/span><\/p>\n

    How to require users to authenticate<\/span>\u00a0<\/span><\/h3>\n

    Once you are in \u201csecurity\u201d (see above):<\/span>\u00a0<\/span><\/p>\n

    1. Scroll down to a setting called “Only authenticated meeting participants and webinar attendees can join meetings and webinars,” and slide the button to the right so it turns blue (if it is already blue, it has already been enabled).<\/span>\u00a0<\/span><\/li>\n<\/ol>\n

        2. Check the box for\u00a0Waiting\u00a0Room.<\/span>\u00a0<\/span><\/li>\n
        3. Click Save.<\/span>\u00a0<\/span><\/li>\n<\/ol>\n

          Locking the room<\/span>\u00a0<\/span><\/h3>\n

          Once the Zoom session is in progress, it can be \u201clocked,\u201d\u00a0preventing any\u00a0additional\u00a0users from accessing the class. After the \u201clock\u201d is enabled, any\u00a0additional\u00a0attempts to access the session will automatically be rejected.\u00a0\u00a0While this can be a way to exclude unauthorized visitors, it also means\u00a0students\u00a0in your class\u00a0who\u00a0may be having\u00a0technical difficulties,\u00a0such as a lost\u00a0connection,\u00a0will be unable to rejoin.\u00a0We do not\u00a0recommend enabling this feature\u00a0as a general practice but to limit its use\u00a0for\u00a0extenuating circumstances, like a \u201cZoom bombing.\u201d\u00a0<\/p>\n

            \n
          1. To Lock the room, click <\/span>\u201cHost Tools\u201d\u00a0on the Zoom control panel\u00a0(usually\u00a0located\u00a0at the bottom of the screen)<\/span>\u00a0<\/span><\/li>\n
          2. Click \u201cLock Meeting\u201d in the resulting pop-up menu.<\/span>\u00a0<\/span><\/li>\n<\/ol>\n

            \"\"<\/p>\n

            As none of these features in isolation will prevent Zoom issues in their entirety, please use a combination of the above security measures. Bear in mind, however, no matter how secure you aim to be, there will be people who try to circumvent your efforts. These security measures, especially requiring users to authenticate through\u00a0Zoom\u00a0will significantly reduce Zoom issues, and if they do occur, make it easier to\u00a0identify\u00a0the responsible party.\u00a0<\/p>\n

            For that reason, please see below for the procedures of reporting a Zoom incident.\u00a0<\/p>\n

             <\/p>\n

            Reporting Zoom bombing<\/h3>\n

            If you\u00a0encounter\u00a0a Zoom bomber during your class, you can\u00a0report this incident.\u00a0Document the time, name, and whatever other information you have\u00a0about the person\/people who enacted the\u00a0disruption.\u00a0You can retrieve detailed information on all users in your\u00a0 session in your\u00a0CUNY Zoom<\/a>\u00a0site.<\/p>\n

            1. Click on “Reports” in the left side menu.<\/span><\/li>\n
            2. Click on “<\/span>Usage Reports” in the top menu.<\/span><\/li>\n
            3. Click on “Meeting and Webinar History.”<\/span>\u00a0<\/span><\/li>\n<\/ol>\n

              1. Adjust the date range settings so that the date the incident occurred is shown.<\/span><\/li>\n
              2. Click Search. <\/span><\/li>\n
              3. Identify the session where the Zoom bomb occurred.<\/span><\/li>\n
              4. Click on the number in the Participants column. This brings up a list of participants with their start time, email address, and username.\u00a0<\/span><\/li>\n<\/ol>\n

                Meeting Participants will show the CUNY login of the user in question if you have enabled \u201cRequire users to authenticate.\u201d<\/span>\u00a0<\/span><\/p>\n

                  \n
                1. Take a screenshot of the Zoom bomber\u2019s information (including which user it was and when the incident occurred), or select \u201cExport with Meeting data.\u201d<\/span><\/li>\n
                2. Click \u201cExport\u201d to download the report as a CSV file.<\/span>\u00a0<\/span><\/li>\n
                3. Report this information to Office of Public Safety at\u00a0<\/span>publicsafety@qc.cuny.edu<\/span><\/a> or 718-997-5912 and the Office of Vice President for Student Affairs at\u00a0<\/span>VPSA@qc.cuny.edu<\/span><\/a>\u00a0or 718-997-5500. Be sure to include the documentation of the log of the incident, specifying the user and the time the Zoom bombing occurred.<\/span>\u00a0<\/span><\/li>\n<\/ol>\n
