How to Transfer Back Study Abroad Credits

IMPORTANT NOTE:

We can only assist students who have filled out paperwork through the Study Abroad Office.

If you studied abroad without consulting our office, you will have to transfer your courses through the Queens College Admissions Transfer Office.

Course Approval Form Information

In order for your study abroad credits to be transferred, you must get a Course Approval Form signed off on. 

Detailed information about this form can be found below:

What is a Course Approval Form?
A form that you send to different department chairs/undergraduate advisors with your study abroad classes & credits; they will write down the Queens College equivalent class and sign off on it.  This guarantees that your credits will transfer back to Queens College.

 

*Your study abroad classes/credits cannot be posted to CUNYFirst without this form.*

 

 

This is especially necessary for students who receive Financial Aid.

 

Who needs a Course Approval Form?
Everyone who studies abroad… BUT if you are studying abroad through a Queens College Winter/Summer Program, we take care of it for you.

 

  • QC Winter/Summer Programs:  Students wishing to receive credits from a different department should let us know, and should then bring this form directly to your department of interest and then submit it to the Study Abroad Office once it is signed.
Who must get a Course Approval Form signed off on on their own?

Everyone EXCEPT FOR Queens College Winter/Summer Program Participants.

 

In other words, students participating in the following programs must obtain Course Approval Signatures on their own; the Queens College Study Abroad Office will not do this on your behalf, besides exceptional cases:

-Queens College Semester/Yearlong Programs (International & NSE)

-NON-Queens College Semester/Yearlong Programs (Other CUNY, SUNY, USAC, etc.)

-NON-Queens College Summer/Winter Programs (Other CUNY, SUNY, USAC, etc.)

    Students participating in Queens College Summer/Winter Programs do not have to worry about this, unless they would like credits from a different department.

 

Different Types of Course Approval Forms

-Queens College Course Approval Form

–> For Summer, Winter & Semester/Yearlong Programs

 

-NSE Course Approval Form

–> For Queens College Students participating in the National Student Exchange Program (NSE)

 

-ePermit Course Approval Form

–> For other CUNY programs

      • These students must apply for an ePermit on CUNYFirst before submitting their ePermit Course Approval Form, but can begin obtaining signatures right away.

-NON-CUNY Course Approval Form

–> For any NON-CUNY Programs (Ex: SUNY, USAC, direct enrollment, 3rd parties, etc.)

 

 

-National Student Exchange Course Approval Form

–> For the NSE Program

 

INSTRUCTIONS
Queens College Winter/Summer Programs
You do not have to do anything, unless you would like credits from a different department.

 

Queens College Semester/Yearlong Programs (International)

After being nominated to your host university:

 

    1. Decide which courses you would like to take abroad
    2. Download the Queens College Semester Programs Course Approval Form
    3. Fill out the Course Approval Form (instructions below)
    4. Email the Course Approval Form to department chairs/undergrad advisors (Sample Email below)
    5. Email signed Course Approval Form(s) to bzahran@qc.cuny.edu and to Financial Aid.

 

NOTE:

 

    Most of the time, you will not know exactly which courses you will be taking until the very last minute.
    If your courses change, you can obtain signatures for those new classes upon your return to NY.
National Student Exchange Program (NSE)

After being accepted for placement:

 

    1. Decide which courses you would like to take at your host school.
    2. Download the NSE Course Approval Form
    3. Fill out the Course Approval Form (instructions below)
    4. Email the Course Approval Form to department chairs/undergrad advisors (Sample Email below)
      5. Email signed Course Approval Form(s) to

    and to Financial Aid (if applicable).

 

Other CUNY Programs

After being accepted to the Other CUNY Program:

 

    1. Decide which courses you would like to take abroad
    2. Apply for an ePermit on CUNYFirst (this is what will allow your credits to transfer from the other CUNY school to Queens College)

–>  Instructions here (but put Queens College as your home college, not your host college)

    3. Download the ePermit Course Approval Form
    4. Fill out the Course Approval Form (instructions below)
    5. Email the Course Approval Form to department chairs/undergrad advisors (Sample Email below)
    6. Email signed Course Approval Form(s) to Financial Aid (except Winter Program applicants) and studyabroad@qc.cuny.edu.
      SUBJECT: ePermit Course Approval Form- [Your Full Name (EMPL ID)]- [Semester/Year]

5. Email signed Course Approval Form(s) to Financial Aid (except Winter Program applicants) and studyabroad@qc.cuny.edu.

      •   SUBJECT: NON-CUNY Course Approval Form- [Your Full Name (EMPL ID)]- [Semester/Year]

How to fill out a
Course Approval Form
You Fill Out:

  • Top of the form: Your information
  • Left side of the table: Study Abroad Course & Credit Information
    • Under “Study Abroad Course” or “Discipline” (in NON-CUNY form): Write the full names of the courses you will be taking abroad
    • Under S.A. Credits: Write the number of credits the course is worth in that country
      • Ex: For Europe, 6 ECTS (European Credits) = 3 American Credits, so you would write 6 if that is how many credits the class is worth in Europe.

Department Chairs/Undergrad Advisors Fill Out:

  • Right Side of Table: They should write the Queen College Equivalency, Queens College Credits and sign & date the form
    • Be sure to mention any differences in credit conversions

 

Obtaining Course Approval Form Signatures

After deciding which courses abroad you are interested in and filling out the Course Approval Form:

Go to/Email the corresponding department chairs/undergrad advisors and have them sign off on Queens College Equivalencies.

No Queens College Equivalency?  No problem

If there is no Queens College course that is similar to the one you are taking abroad, departments can grant you 499 Elective Credits.

  • Ex: HIST 499 – This is not a specific History class, these are just elective credits that the History department is granting you.
  • ITAL 499 – Same thing here
